3. The information we collect

3.1 When you visit bizzform.com

When you browse our website, we may collect:

  • Technical data: IP address, browser type and version, operating system, referral source, pages visited, dates and times of access. This is collected automatically through standard web-server logs.
  • Cookies: only essential cookies (session, security, and your cookie-consent acknowledgement). We do not run analytics, advertising, or social-media tracking cookies. See Section 11.

3.2 When you contact us

If you use our contact form, email, or phone:

  • Identification data: your name, email address, and (if you provide it) phone number, company name, and job title.
  • Content of your message: any information you choose to share.

3.3 When you engage our company-formation service

If you ask us to help you form a company:

  • Identification and personal data: your full legal name, date of birth, residential address, country of residence, nationality, and government-issued identification (passport, national ID, or driver's licence) — required by our partners for KYC and beneficial-owner verification.
  • Business details: proposed company name, jurisdiction, intended activities, ownership structure, member/director details, and any documents you provide.
  • Banking and tax data: tax residency, EIN/ITIN where applicable, and bank-account-opening information.
  • Payment data: billing address, VAT number, payment-card or bank-transfer details (handled by our payment processor; we do not store full card numbers).

3.4 When you create or use a Q70 (or other bizzform software) account

  • Account data: name, email address, role, login credentials (passwords are stored hashed using bcrypt — we never store or see raw passwords).
  • Profile data: profile picture, language pairs, rate cards, working hours, time zone (only if you provide them).
  • Authentication data: two-factor authentication (2FA) secrets, hashed.
  • Usage data: actions you take inside the product (translations created, jobs assigned, files uploaded), captured in an audit log.
  • Work product: source files, translated content, translation memories, termbases, comments, QA findings. This data belongs to the customer organisation that owns the workspace; bizzform processes it on the customer's behalf.
  • Email and inbox data: if your organisation enables the Email Signals plug-in, emails and attachments fetched from a configured IMAP mailbox are stored within the product so users in that workspace can view them.

3.5 When you do business with us

Business contact details, billing data, and any documents required to operate the engagement.

4. How we use your information

We use the information described above to:

  • provide, maintain, and improve our services;
  • create and manage your account, authenticate you, and personalise your experience;
  • process and deliver company-formation and translation projects;
  • route source content to AI/MT providers configured by your workspace administrator (see Section 6);
  • respond to enquiries, requests, and support tickets;
  • send service-related notifications (security alerts, account changes, system updates);
  • send commercial communications where you have opted in or where permitted by applicable law (with an unsubscribe option in every email);
  • operate our business (billing, accounting, audit trails);
  • detect, prevent, and respond to fraud, abuse, security incidents, and violations of our Terms;
  • comply with our legal obligations, including anti-money-laundering and beneficial-owner reporting where formation services are involved.

5. Legal bases for processing (EU/UK/EEA users)

Under the EU General Data Protection Regulation (GDPR) and UK GDPR, we process your personal data on one or more of the following legal bases:

  • Performance of a contract (Article 6(1)(b)): when you engage our services or create an account.
  • Legitimate interests (Article 6(1)(f)): to operate our business, secure our systems, prevent fraud, improve our services, and conduct direct marketing of similar services to existing business contacts.
  • Consent (Article 6(1)(a)): for non-essential cookies and marketing emails where consent is required.
  • Legal obligation (Article 6(1)(c)): when we must retain or disclose data to comply with applicable laws (tax records, court orders, AML/KYC requirements).

6. How we share your information

We do not sell your personal information. We share it only with the parties below, and only to the extent necessary:

6.1 Sub-processors

We use a small number of trusted third-party service providers ("sub-processors") to operate our services. Each sub-processor is bound by a written data-processing agreement (DPA). A current list is available at our Sub-processors page.

6.2 Customers (when bizzform acts as a Processor)

If you use one of our software products as an employee, translator, or vendor of an organisation that subscribes to the product, your usage data and work product are accessible to that organisation. In that scenario, the organisation is the Data Controller and bizzform is the Data Processor. You should refer to your organisation's privacy notice for further information.

6.3 Formation-service partners

To deliver company-formation services we exchange the data you provide with state registries, the IRS, banking partners, and licensed formation service providers, as required to complete the engagement.

6.4 Legal disclosures

We may disclose your information where required by law, court order, or government request, or where necessary to protect our rights, property, or safety, or that of our users or the public.

6.5 Business transfers

If bizzform is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

7. International data transfers

bizzform is established in the United States. Our software services may also be hosted on servers in the European Union. When you use our services, your personal data may be transferred to, stored in, or accessed from countries outside your country of residence, including the United States.

For transfers of EU/UK personal data to countries without an adequacy decision, we rely on appropriate safeguards including the European Commission's Standard Contractual Clauses (SCCs) and, where applicable, supplementary measures. You may request a copy of the safeguards in place by contacting privacy@bizzform.com.

8. How long we keep your information

  • Account data: for as long as your account is active, plus up to 30 days after deletion (for backup retention).
  • Translation work product: for as long as your organisation's workspace is active, subject to your organisation's retention policy.
  • Formation records: as long as required by US and applicable foreign law (typically 7 years minimum for tax and corporate records).
  • Audit logs: up to 7 years.
  • Billing records: 7 years (US/EU accounting requirements).
  • Contact-form submissions: up to 2 years, then deleted.
  • Marketing data: until you opt out, then promptly deleted from active systems.

Encrypted backups may persist for up to 90 days after deletion in active systems.

9. Your rights

9.1 If you are in the EU, UK, or EEA (GDPR)

You have the right to:

  • Access the personal data we hold about you (Article 15);
  • Rectify inaccurate or incomplete data (Article 16);
  • Erase your personal data ("right to be forgotten") (Article 17), subject to legal retention obligations;

  • Object to processing based on our legitimate interests or for direct marketing (Article 21);
  • Receive your data in a portable, machine-readable format (Article 20);
  • Withdraw consent at any time, where processing is based on consent;
  • Lodge a complaint with your local supervisory authority. A list is available at edpb.europa.eu.

9.2 If you are in California, USA (CCPA/CPRA)

  • Know what categories of personal information we collect;
  • Access the specific personal information we hold about you;
  • Delete your personal information, subject to legal exceptions;
  • Correct inaccurate personal information;
  • Opt out of the "sale" or "sharing" of your personal information (we do not sell or share);
  • Limit our use of sensitive personal information;
  • Non-discrimination when you exercise any of these rights.

10. How to exercise your rights

Email privacy@bizzform.com. We will respond within 30 days (extendable by up to 60 additional days for complex requests). We may need to verify your identity before fulfilling certain requests.

If you are using a bizzform product as a user of a customer organisation, please contact that organisation directly first — they are the Controller of your data within their workspace.

11. Cookies

bizzform.com uses cookies only for essential functionality:

  • Strictly necessary cookies: session management, security (CSRF protection), and remembering your cookie-banner acknowledgement.

We do not currently use analytics, advertising, or social-media tracking cookies on bizzform.com. If we add any in the future, we will update this Policy and request your consent through our cookie banner.

12. Children's privacy

Our services are not directed at children under 16. We do not knowingly collect personal information from children under 16. If you become aware that a child has provided us with personal information, please contact us so we can delete it.

13. Security

14. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top. Material changes will be notified to active users via email or a prominent notice on bizzform.com at least 30 days before they take effect.
